Job Description
|
|
Performs technical and supervisory work in the area of public assembly management. Responsible for managing the necessary logistical requirements for events held at an assigned facility, including drafting technical drawings (CAD), resolving event-related problems, completing event evaluations, and exercising functional supervision over the event staff including departmental interns. Important responsibilities of this class are to foster a positive image of the City of Orlando, to be detail-oriented, to perform assigned tasks with tact, discretion, and courtesy, and to exercise discretion and independent judgment in the resolution of problems. Work is performed under the supervision of the Venues Events Assistant Division Manager. Performance is reviewed while in progress and upon completion through conferences, direct observation, and reports submitted to ensure compliance with departmental policy and client satisfactions.
Minimum Qualifications:
Bachelor's Degree in Event Management, Sport Management, Hospitality Management, or related field plus two to three (2-3) years event coordination experience; or an equivalent combination of education, training, and experience. Valid Florida Driver's License required.

Responsibilities
|
|
EXAMPLES OF WORK PERFORMED:
Plans, organizes, and manages logistical requirements for a variety of events at the arena.
Promotes a favorable image of the City.
Meets with facility clients in advance of events and assists in determining event needs.
Provides information and direction to operations and support staff including audio/visual, telecommunication, set-up, custodial, maintenance, security and admission personnel.
Prepares technical drawings (CAD), layouts, diagrams, instructions, set-up requirements and supporting documentation for each event and distributes to appropriate staff and communicates changes before and during events.
Submits service requests to appropriate departments and/or sub-contractors to schedule event staff in accordance to client requests and projected attendances.
Ensures compliance with applicable fire, building and safety codes.
Serves as facility representative and Manager on Duty (MOD) at events as assigned and requested, including events held at other facilities within the Venues department.
Enforces facility policies and procedures throughout each event and resolves event problems and public complaints.
Prepares written evaluations of the events and distributes to appropriate management staff.
Recommends changes in operational procedures based on findings.
Answers questions and provides information to facility guests and clients, including prospective facility clients.
Conducts facility tours as needed.
Prepares written cost estimates to all clients in advance of their event including prospective clients.
Performs other duties and responsibilities as required.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of effective customer service practices, contract language rules and regulations, public facility operations and set-up procedures.
Ability to effectively manage multiple projects, tasks and duties.
Must possess very strong organizational, communication and interpersonal skills.
Ability to meet deadlines with high quality results in a fast-paced environment.
Ability to communicate clearly, both verbally and in writing.
Ability to establish and maintain effective work relationships with clients, promoters, City employees and general public.
Ability to respond to difficult and stressful situations in an efficient, effective, and positive manner.
Ability to perform pre-event inspections and conduct tours of facilities.
Ability to work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) work days and extended numbers of days.
Skills in technical computer-aided drafting programs, such as AutoCAD.
Ability to walk for extended periods of time, stand, sit, bend, stoop, lift 20 lbs, pull/push, reach overhead, kneel, crawl, climb, and work under extreme weather and excessive noise.
