Job Description
 
Performs administrative and supervisory work in assisting in managing the administrative and operational functions of the City of Orlando’s My Brother’s Keeper (MBK) initiatives. Plans, coordinates, leads, and oversees a wide range of MBK programs in conjunction with partnerships with nonprofit organizations focused on boys and young men of color. Duties include managing data; ensuring grant compliance; monitoring and assisting in the development of programs and budget management; ensuring fiscal accountability and effective use of funds; and contractual agreements and grant projects. Supervises, schedules, plans, and coaches both City of Orlando staff and nonprofit organizational staff. Work is performed under the direction of My Brother’s Keeper Manager. Performance is reviewed through meetings, reports submitted, observation, and evaluation of results obtained. May be required to work a flexible schedule, including evenings, weekends, and holidays.

Minimum Qualifications:

Associate's Degree in Business, Public Administration, Education, Youth Development, African American Studies, Public Policy, or related field and three (3) years of progressively responsible experience implementing programs for youth, community organizing events, and/or public affairs management, two (2) years of which must have been in a supervisory capacity; or an equivalent combination of education, training, and experience. Valid Florida Driver's License required. Must pass a criminal background check which includes a polygraph examination.
 
Responsibilities

Recruits, hires, and onboards program staff, ensuring a diverse and qualified team; provides ongoing supervision, support, and professional development opportunities for program staff; and conducts regular performance evaluations and provide constructive feedback to enhance staff effectiveness and growth. Supervises, assigns, and evaluates the work of assigned staff including program partners and school personnel. Regularly engages with lead student advocates to offer support, direction, and feedback regarding their interactions with program participants; validates and authorizes activity logs, advocate timesheets, and documentation to ensure adherence to program stipulations; and manages any personnel issues or disputes among program staff. Collaborates with the program manager to resolve operational obstacles and enhance program efficiency; acts as the primary contact for lead student advocates and participants, addressing immediate needs and concerns; and aids in executing program activities and events when necessary.

Oversees multiple youth and adult programs.

Organizes and operates an ongoing series of youth and family events.

Advises and oversees the process of distributing grant funds to partner organizations including accountability via management of a collective system of grant-making and program evaluation.

Oversees collection and preparation of all program data for performance reports and formative/summative evaluations.  

Represents the City on various work committees to provide input, and information; ensures inclusion in various programs projects, and activities across the community.

Ensures the accurate and current documentation of program activities, participant demographics, and results through a specified database or tracking system; produces routine reports weekly from ETO to monitor the advancement of the program, its outcomes, and impact metrics for both internal and external stakeholders; and utilizes data and assessment results to guide program decisions, recognize effective approaches, and propose enhancements or modifications to the program.

Develops strategies to recruit and engage boys and young men of color in the mentoring program; conducts intake assessments to discern the unique needs, strengths, and objectives of each participant in order to create personalized mentoring plans; and offers continuous support, advocacy, and access to resources in order to help participants to surmount obstacles and realize their personal, academic, and professional aspirations.

Recruits, screens, and onboards lead student advocates from diverse backgrounds who are committed to supporting the growth and development of boys and young men of color; designs and facilitates mentor training sessions to equip lead student advocates with the necessary skills, knowledge, and resources to effectively support their mentees; and provides ongoing support, guidance, and supervision to advocates to ensure they are meeting the needs of their mentees.

Evaluates mentor performance, offering feedback through monthly and weekly check-ins and assessments; arranges mentor training sessions and workshops to onboard new advocates and provide continuous support and growth opportunities; and collaborates with program staff to organize mentor-mentee matching events and activities. Aids in creating and executing mentor recognition programs to acknowledge and celebrate their contributions. Reviews program policies and procedures with program staff to ensure adherence and uniformity in program execution. Monitors mentor recruitment endeavors and adjusts strategies as necessary to achieve program objectives.

Engages in outreach to local businesses, community organizations, and schools to identify potential partnership opportunities and resources for the program.

Assumes the role of an advocate in the event that the incumbent advocate is unable to fulfill their duties

Develops and maintains a program calendar, including events, workshops, and activities; coordinates with staff and partners to schedule program activities and ensure alignment with program goals and objectives; monitors deadlines and ensures timely completion of program deliverables.

Manages all aspects of grant funding, including budgeting, reporting, and compliance. Develops grant proposals and applications to secure funding for program initiatives. Maintains relationships with funders and stakeholders, providing regular updates on program activities and outcomes.

Plans and coordinates summer programming for participants, including academic enrichment, recreational activities, and field trips.; develops partnerships with local organizations and businesses to enhance summer programming and provide additional opportunities for participants; and ensures that summer programming aligns with the needs and interests of program participants and supports their overall development and success.
