Job Description
 

Performs professional and administrative work coordinating and supervising event preparedness and overseeing facility operations and maintenance.  Ensures the maintenance, operations, and housekeeping tasks are completed before, during, and after an event. Uses considerable discretion and independent judgment in the resolution of problems. Work is performed under the general supervision of the Venues Event Manager. Performance is reviewed while in progress through conferences, direct observation, and results obtained.

Minimum Qualifications:

Bachelor’s Degree in Hotel Management, Engineering, Facility Management, or related field and three (3) years’ experience in venue and/or event operations, including two (2) years’ experience in a responsible supervisory capacity; or an equivalent combination of education, training, and experience. Valid Florida Driver's License is required.

Required to work extended and/or irregular hours, including nights, weekends, and holidays as needed.

 
Responsibilities
 
Knowledge, Skills, and Abilities:

Knowledge of effective customer service practices, consumer and public events, event management, and public facility operations and maintenance.

Basic knowledge of HVAC, electrical, mechanical, plumbing, audio/visual, and life safety systems.

Knowledge of logistical and set-up requirements of various events.

Knowledge of ground and landscape maintenance practices and procedures.

Effective organizational and time management skills.

 Excellent strategic planning and problem-solving skills.

 Ability to communicate clearly both verbally and in writing.

Ability to respond to difficult and stressful situations.

Ability to operate a computer and basic Microsoft Office skills (Word, Excel, Outlook).

Ability to be a team player and to work well with others.

Ability to plan and schedule work and supervise various activities.

Ability to establish and maintain effective work relationships with vendors, contractors, promoters, and the public.

Ability to safely operate various tools and equipment.

Ability to work extended and/or irregular hours, including nights, weekends, and holidays as needed.


Examples of Work Performed:

Plans, coordinates, organizes and supervises event operations including event setup, conversions, tear down, and facility preparedness. 

Coordinates, schedules, supervises, trains, and evaluates the work of the event operations team. The team includes seasonal and contractor service provider staff.

Manage all preventative maintenance and ensure City Facilities and service providers conduct weekly, monthly, and annual services and inspections, report needs, conditions, and recommendations, and charge accounts for work completed.

Collaborate with horticulture and other staff teams to create a preventative maintenance program for the Garden's physical campus, and safety programs. Manages the work order process.

Develop and update comprehensive management reports or manuals on preventative maintenance plans, facility equipment reports, and event conversion reports.

Assist with coordinating and procuring operational equipment and deliverables. 

Maintains equipment and supplies inventory; items include administrative supplies, housekeeping stock, production and staging equipment, and vehicles.

Assist with developing, implementing, and facilitating a computerized maintenance management software program (CMMS).

Collaborate with the facility operations team and create a preventive maintenance program for assets and safety programs. 

Manage the work order process.

Assist with managing vendor contracts and accounts payables.

Performs other related duties as assigned.
