Job Description

|
Performs administrative and clerical work of a diverse nature in support of the goals and objectives of the Hispanic Office for Local Assistance (HOLA). Provides exceptional customer service support which requires performing tasks with tact, sensitivity, discretion, and courtesy. Uses sound independent judgment to provide and recommend assistance programs based on the needs and priorities of clients. Duties include screening clients via phone, email, and in-person to provide appropriate assistance program information, assisting clients to complete applications for assistance programs such as utilities, rent, food stamps, and other programs, possibly giving directions to seasonal employees, and attending and participating in City of Orlando-sponsored events to promote HOLA. Work is performed under the general instructions and guidelines of the HOLA Coordinator. Performance is reviewed while in progress through work achieved. Incumbent must work evenings, weekends, and/or holidays as required.
Minimum Qualifications:
Associate's Degree in Business, Management, Office Management, or related field and two (2) years of secretarial experience, preferably with office management responsibilities; or an equivalent combination of education, training, and experience. Valid Florida Driver's License required. Must type 35 CWPM, have a working knowledge of Microsoft Office Suite programs, and be able to speak, read, and write Spanish.

Perform administrative, and clerical work that involves considerable public contact.
Performs intake and screening of all registrants for supportive services; maintains appointment and intake log.
May assist clients in completing applications and following up on recommended programs.
Provides assistant program information that may require sensitivity and the use of sound independent judgment.
Compose non-routine and routine correspondence/documents, frequently from ideas or general instructions.
Conducts research to obtain pertinent information and creates reports as needed.
Establishes and maintains a comprehensive filing system and maintains other pertinent Program records.
Performs a variety of administrative support work in support of office operations including typing, and filing.
Maintains general office functions. including office supplies inventory and ordering.
Works independently and prioritizes time and work assignments effectively.
May assign, supervise, and review the work of seasonal staff in absence of the Manager.
Performs other duties as may be assigned
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of Hola and other government agencies programs.
Knowledge of best practices and standard office methods and procedures.
Skilled in the operation of personal computer/laptop, use of Microsoft Office programs, use of the internet to research projects, and use of email
to communicate with constituent groups, community partners, and program participants.
Excellent oral and written communication skills.
Ability to present program information in a public forum.
Ability to take initiative and work independently within guidelines as necessary.
Ability to handle confidential and sensitive matters with discretion.
Ability to simultaneously handle multiple projects and meet deadlines.
