Job Description
 
Performs clerical/technical work in researching and verifying the locations of wastewater facilities (including service laterals), force mains and reclaimed water lines for private contractors and consulting firms. Answers telephones and relays information found on the MapWorks system and as-built drawings to other departments, contractors, and the general public. Dispatches stopped sewers complaints to appropriate crews. Composes memorandums, letters, et cetera and orders supplies. Revises and develops forms, reports, and spreadsheets. Processes payroll including leave requests and overtime documents. Maintains and updates a comprehensive filing system which includes maps, charts and blue prints. Uses Maintenance Connection to prepare reports on work order progress and to update asset management data. Performs responsible specialized clerical work involving the receipt, review, and processing of as-built drawings, sewer connections, and sanitary sewer verifications. Work also involves general office, clerical, and computer work as assigned. Employees assigned to this classification have considerable public contact and must exercise discretion, tact, and diplomacy in explaining requirements and answering questions in person and over the telephone. Work is performed under general supervision. Performance is reviewed while in progress and upon completion through observation, discussions, and review of reports.

Minimum Qualifications:

High School Diploma/G.E.D. Certificate and one (1) year experience in data entry and customer service involving considerable public contact preferably in utilities, zoning, building, engineering, planning, or a related area; or an equivalent combination of education, training, and experience. Must have the ability to read and interpret maps, charts, blueprints, and engineering drawings. Must be able to operate a desktop computer.

Additional Qualifications for Promotion:

Promotions are not to be considered an automatic function of longevity and are subject to the review and authorization of the Supervisor. The employee’s last performance review must have resulted in an overall rating of Meets standards or better with no factor rating of less than meets.
 
Responsibilities
 
EXAMPLES OF WORK PERFORMED:

Researches, verifies and schedules locates of wastewater facilities.

Schedules crews to respond to stopped sewer calls.

Researches maps, charts, and blueprints in both electronic and paper forms.

Answers telephone, takes and relays correct information to and from customers, contractors, etc.

Processes incoming data from customers and vendors.

Verifies  locations of laterals and reports excavations and road depressions.

Files and keeps records up-to-date.

Creates, maintains and updates computerized data systems.

Maintains, stores, and analyzes maps/plans to establish presence or absence of wastewater service.

Uses a two-way radio to contact supervisors, crews and other departments.

Inputs data into a desk top computer using Excel, Microsoft Word, Maintenance Connection and other data base management software.

Revises and develops formats for forms, reports and spreadsheets.

Transmits all Sunshine tickets to the utilities informing them of sewer line (s) in the area.

Performs other related work as assigned.


KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of the requirements of Sunshine One Call Program, location of reference documents and established policies and procedures of the section.

Knowledge of operating characteristics and maintenance of personal computer.

Knowledge of City streets and maps.

Skilled in the operation of standard office equipment.

Skilled in software programs used by the section such as MapWorks, Excel, Word, and other data base management software.

Possess a high level of customer service skill.

Ability to properly receive and document incoming phone messages and Sunshine One Call work tickets.

Ability to use City Engineering plans to locate lines and provide accurate field reference locations.

Ability to comply with requirements of Sunshine One Call Program and policies and procedures of Section.

Ability to perform detail work quickly and accurately.

Ability to work with complex records.

Ability to read and interpret maps, charts and blueprints.

Ability to meet stringent deadlines.
