Job Description
 
FLEET MANAGEMENT: Performs technical and administrative duties while serving as the main focal point between the customer and Fleet Management in the maintenance and repairs of vehicles. Schedules appointments, generates repair work orders, helps control workflow, and performs other administrative duties. Work is performed under the supervision of the Fleet Maintenance Supervisor or Fleet Manager. Work is reviewed through observation and reports while in progress and upon completion.

FACILITIES MANAGEMENT: Serves as the main point of contact for the Facilities Management Division. Provides technical and clerical support to the Facilities Management Division. Generates all on-demand preventive maintenance work requests using the Facilities Management’s Computerized Maintenance Management Software (CMMS). Work is performed under the supervision of the Division Fiscal Manager. Work reviewed through observation and reports while in progress and upon completion.

Minimum Qualifications:

FLEET MANAGEMENT: High School Diploma/G.E.D. Certificate and six (6) months to one (1) year of mechanical or service writing experience; or an equivalent combination of education, training, and experience. Valid Florida Driver's License required.

FACILITIES MANAGEMENT: High School Diploma/G.E.D. Certificate and one (1) year of facilities call center experience; or an equivalent combination of education, training, and experience. Valid Florida Driver's License required.
 
Responsibilities
 
EXAMPLES OF WORK PERFORMED:

FLEET MANAGEMENT:

Serves as customer focal point for fleet receiving incoming or outgoing calls and emails scheduling and prioritizing service appointments and repairs.

Utilizes fleet management software and other computer programs for initiating work order repairs and workflow control.

Prepares, reviews, distributes and controls the Preventive Maintenance program through daily analysis and trends. Schedules the vehicle or equipment for maintenance, coordinating between the shop and/or vendor to ensure proper work balance.

Supports vehicle data records ensuring accuracy or data is recorded and maintained within the fleet management system or other accountability systems.

Performs vehicles and equipment assessment for preventive maintenance and repairs to meet the manufacturer, State and Federal regulations.

Manages motor pool fleet reviewing departmental requests for temporary use of vehicle, selects best requirement to meet the customers, provide guidance and policy on rental vehicles and supports as a lesion between two departments, if required.

Contacts customer when vehicle is ready for pickup or needs further customer support.

Manages and reconciles fleets parking lot. Ensures vehicle accountability.

Manages customer satisfaction survey program.

Manages master key control and accountability.

Supports coordination with replacement of license plates/decals/registration/gas cards.

Performs other related duties as assigned.

FACILITIES MANAGEMENT

Receives maintenance and repair calls via telephone, email, radio, and walk-up requests for multiple trade shops.

Utilizes CMMS to create trouble reports and routine preventive maintenance (PM) requests.

Maintains and updates PM schedules.

Deciphers, writes, and routes service calls to the responsible parties.

Dispatches emergency requests via call radio.

Logs and coordinates Alteration and Improvement requests for the Project Manager in the Facilities Engineering Section.

Maintains equipment inventory and facilities listings.

Communicates with supervisors and managers to ensure proper routing of service calls.

Retrieves data from computer files; reviews and analyzes data and compiles reports as needed.

Files all repair order/requests.

Maintains rotating standby schedule.

Maintains the Division’s radio inventory.

Report all inoperable equipment.

Communicates with clientele for maintenance complaint interpretation and quality assurance.

Researches CMMS database for maintenance, source, and status information.

Keeps users apprised of status on building or equipment repairs.

Reviews preventive maintenance status monthly, analyzes preventive maintenance requirements, and develops schedules for preventive maintenance of individual program facilities repairs.


KNOWLEDGE, SKILLS AND ABILITIES:

FLEET MANAGEMENT:
In-depth knowledge of the methods, practices, tools. parts and maintenance terms.

Ability to inspect and provide basic diagnoses.

Ability to keep records and prepare reports.

Ability to read and interpret manufacture recalls.

Ability to establish and maintain effective working relations with City employees, vendors and customers.

Ability to enter and retrieve data using computer, spreadsheets and other data systems.

Ability to operate vehicles within motor pool and fleet.

Ability to stand and walk for extended periods of time, with occasional bending, stooping, and lifting up to 50 lbs; exposed to fumes, noise and inclement weather.

FACILITIES MANAGEMENT
In-depth knowledge of the methods, practices, tools and maintenance used in Facilities Managemet maintenance and repair work.

Ability to keep records and prepare simple reports.

Ability to read and interpret blueprints and specifications.

Ability to establish and maintain effective working relationships with other City employees, vendors and tradesman.

Ability to enter and retrieve data using personal computer, spreadsheets, manuals and/or warranty information..
