Job Description
|
|
Performs clerical work in the City Attorney's Office Division. An employee assigned to this classification serves as a front-line receptionist; greets and directs callers and visitors for large professional office staff; and provides quality customer service. Must be able to multi-task and handle angry or upset people in a calm professional manner. Work is performed under the direction of the Office Manager and performance is reviewed while in progress.
Minimum Qualifications:
High School Diploma/G.E.D. Certificate and two (2) years clerical and/or secretarial experience; or an equivalent combination of education and experience. Must type 25 to 55 WPM depending on area of assignment. Valid Florida Driver's License may be required depending on area of assignment.

Gathers and organizes information from various sources to determine how best to assist callers and visitors.
May interview and assist persons needing assistance for a variety of City reasons; explains which City departments can best assist them; and directs citizens accordingly.
May compose and type correspondence of a routine nature.
Establishes and maintains calendar for conference room scheduling.
Maintains and updates office manuals.
Receives telephone calls and provides information regarding the operations and procedures of the assigned area; refers difficult or unusual situations to supervisor; and performs office reception duties.
Answers difficult inquiries and customer complaints; explains functions and services of Department; and requests action from proper department.
Monitors locations and activities of professional staff.
Operates word processor, computer terminal, and other office equipment.
Receives, opens, and directs office mail to appropriate staff members.
Covers phones for OPD Legal and the Mayor’s Office as needed.
Serves as a greeter for all visitors coming to the City’s Attorney’s Office.
Performs other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of English composition, general math, and office practices and procedures.
Skilled in providing excellent customer service.
Ability to type between 25 and 55 wpm.
Ability to operate personal computer, various office equipment, such as: scanners, copiers.
Ability to operate software programsMicrosoft Office Suite, Lotus Notes, etc.
Ability to sit and operate a personal computer for extended periods of time.
Ability to work independently, maintain confidentiality, and adhere to established routines and practices.
Ability to compose and proofread correspondence/documents.
Ability to establish and maintain effective working relationships with employees and the public.
Ability to learn codes/procedures of assigned area and to distribute mail/deliveries accordingly.
Ability to communicate effectively, both orally and in writing.
