Job Description
|
|
Performs routine work involving extensive public contact in person and over the phone. Receives callers; answers routine questions on departmental/division procedures, operations, and functions; and directs callers to destinations. Work requires knowledge of departmental/division operations. The incumbent may operate a multi-line switchboard and standard office equipment such as photocopiers, fax machines, and calculators. Work is performed under general supervision and reviewed for quality of service rendered to employees and the public.
Minimum Qualifications:
High School Diploma/G.E.D Certificate and one (1) year of experience as a receptionist or telephone console operator; or an equivalent combination of education, training, and experience. Some positions require the ability to type 35 CWPM.

Greets visitors, directs visitors/callers to destinations, obtains visitor's names and arranges appointments with appropriate personnel.
Answers telephones, transfers calls to appropriate personnel, relays messages; maintains telephone log.
Answers routine questions on departmental/bureau procedures, operations and functions; refers callers to appropriate agency.
May serve as information source in emergency situations; provides information to security, emergency services, or operational staff.
Maintains supply of informational pamphlets, schedules and reference materials.
Opens, sorts, logs and distributes mail.
Maintains sign in sheets of visitors, records number of visitors and calls received on a daily basis, calculates monthly total of callers.
Operates standard office equipment such as calculators, photocopiers, fax machines, and typewriters.
Orders office supplies and processes requests for building and telephone maintenance.
Performs related work as required.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of office practices and procedures, and business english.
Knowledge of phone etiquette techniques, and effective interpersonal skills.
Knowledge of the organization and functions of assigned department/bureau.
Skill in the operation of a typewriter, personal computer, switchboard and related equipment.
Ability to type 35 cwpm.
Ability to listen and identify callers needs.
Ability to communicate effectively by telephone, two-way radio, and in person.
Ability to meet and deal effectively with the public and high level officials.
Ability to react quickly in emergency situations.
Ability to sit for extended periods of time.
