Job Description

|
Performs specialized secretarial work requiring knowledge of legal procedures, terminology, and legal documents. Performs complex and confidential secretarial assignments for two (2) or more City of Orlando attorneys. Work is of more than average difficulty and might be in a particular area of emphasis such as criminal law, litigation, real property (acquisition and disposition), labor and personnel, environmental regulation, construction matters, professional services, or contracts and leases, depending on the attorney assigned. The legal nature of work requires that all tasks be performed accurately and in strict conformance with established policies and procedures as well as court requirements. Employee is expected to exercise initiative and independent judgment: in responding to inquiries from municipal employees, department managers, outside attorneys, and the general public; in personally addressing administrative matters which do not involve policy determinations; and in recognizing and immediately bringing priority matters to attorney's attention. Work is performed under attorney supervision.
Minimum Qualifications: High School Diploma/G.E.D. Certificate required, and two (2) years of legal secretarial experience or an equivalent combination of education, training, and experience. Must type 40 CWPM. Some positions may require passing a police background investigation, which includes a polygraph.
Additional Qualifications for Promotion (Legal Secretary I to II): Promotions are not to be considered an automatic function of longevity and are subject to the review and authorization of the Supervisor. Last performance review must have resulted in an overall Meets Standards rating or better with no factor rating of less than Meets Standards.

Responsibilities

EXAMPLES OF WORK PERFORMED:

Maintains two or more attorney's calendars; makes appointments with the City employees department directors, other attorneys, witnesses, etc.; schedules hearings, depositions, conferences, mediations, telephone conferences, and meetings; and makes travel arrangements for all trips, as required.
Maintains digital and paper files; maintains memos of understanding, agreements, and forms processed through the City Attorney's Office; and updates all reference materials used by attorneys.
Prepares drafts of legal documents such as ordinances, legal opinions, agreements, resolutions, real estate closing documents, interrogatories, briefs, affidavits, and other pleadings for attorney review.
Prepares legal forms such as: subpoenas for deposition and trial; notices of hearing, deposition, and trial; and drafts of proposed legislation.
Prepares monthly reports.
Uses computerized information and database record keeping systems. Sorts and routes incoming mail and legal documents.
Answers inquiries and complaints from the City departments and general public while always maintaining professionalism
Prepares electronic and physical documents for digital signatures and transmittal.
Applies knowledge of legal terminology and forms; legal citation system; and court procedures, structures, and functions.
Applies knowledge of personal computers with specific knowledge of Microsoft Word, Excel, PDF Converter, and case management systems. Uploads pleadings into the ePortal for filing and e-services for all parties; uploads pleadings into the Pacer system for filing and services to all parties.
Maintains case dockets and trial calendars; completes basic legal forms; prepares case files; and researches and compiles data for completion of legal forms and miscellaneous.
Performs as a relief receptionist, taking and screening telephone calls, making decisions to determine the appropriate information to be given, routing calls to the attorneys, and taking messages and greeting visitors.
Performs other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
Superior knowledge of proper English spelling, grammar and punctuation, and considerable knowledge of Latin legal terms used daily in legal documents.
Considerable knowledge of law office practices and procedures.
Considerable knowledge of legal terminology and documents, legal citation system, and court procedures, structures and functions.
Knowledge of personal computers with specific knowledge of Microsoft Word highly desired.
Ability to understand and follow complex oral and written instructions.
Ability to compose, edit and correct draft correspondence, reports and documents for final production.
Ability to establish and maintain effective working relationships with co-workers, municipal officials and the general public.
