Job Description
 
Performs responsible professional and administrative work monitoring and maintaining data within mission critical software for the Capital Improvement Division. Uploads project related documents and data into the construction management software, while ensuring documents and data are complete and accurate. Responsible for the general administration of the software and maintaining data integrity. Provides construction software training and support to various members of the division. Work is performed under the general supervision of the Division Manager and Program Manager. Performance is reviewed on periodic basis through both formal and informal meetings.

Minimum Qualifications:

Bachelor’s Degree in Project Management, Business Administration, or related field and two (2) years of administrative experience in project management; or an equivalent combination of education, training, and experience. Experience with construction management software or project management software desired.

Records and updates assigned projects within the construction management software. 

Creates and runs reports within the construction management software in support of Project Managers and management.

Reviews to ensure relevant and comprehensive documents and data are recorded in the construction management software.

Ensures data integrity of mission critical software.

Identifies gaps and works to develop and implement corrective actions.

Serves as primary point of contact for issues with construction management software.

Supports and trains project managers and other staff on use of construction management software.

Develops system documentation, operating procedures, and training programs.

Identifies and manages possible resistance to software adoption and develops plans to mitigate or address concerns.

Assesses, develops and implements e-Builder user training programs.

Performs other related duties as assigned.


KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of and ability to work extensively with construction management software.

Knowledge of design and construction documentation and flow of documents.  

Knowledge of document management.

Knowledge of training principles and practices.

Knowledge of project management approaches, tools and phases of the project lifecycle.

Skilled in the use of Power Point, Word, Excel and other software used by the City.

Ability to troubleshoot problems and develop creative solutions.

Ability to maintain accurate date records.

Ability to organize and prioritize multiple tasks.

Ability to communicate effectively both orally and in writing.

Ability to listen and build trusting relationships with subject matter experts and others, internally and externally.

Ability to use personal computer and other office equipment.

Ability to work in a fast-paced office environment where multi-tasking is a must.

Ability to understand others and move toward a common vision or goal.
