Job Description

|
Performs administrative staff work assisting the City Attorney and all legal staff by ensuring that routine office operations are managed. Hires, trains, and supervises all legal clerical staff. Prepares, maintains, and monitors budget for the Office of Legal Affairs. Functions as office manager for staff. Maintains and is responsible for all personnel files. Works closely with the City Attorney, Deputy City Attorney, and Assistant City Attorneys. An employee in this class works independently and requires considerable judgment and initiative. Work is reviewed through conferences, reports, and effectiveness of results achieved.
Minimum Qualifications:
Bachelor's Degree in Business Administration or related field and three (3) years experience providing administrative support; or an equivalent combination of education, training, and experience. Experience and knowledge of functions, operations, and structure of city government required.

Assists all attorneys with the overall administration and management of Department including purchasing, personnel, , and policy development responsibilities.
Prepares, maintains. and monitors the budget for the Department.
Hires, trains, and supervises clerical staff.
Assigns and reviews the work of clerical staff.
Performs highly confidential and complex secretarial functions for the City Attorney and Deputy City Attorney, including: types letters, meeting notices, agreements, contracts, and other documents; sets meetings; maintains the City Attorney’s calendar; establishes office procedures; and maintains files.
Schedules and coordinates meetings among various entities.
Processes invoices for Legal Department; processes invoices for other departments who use legal services.
Ensures all software and licensing is up to date.
Processes payroll for clerical staff.
Performs other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
Considerable knowledge of the principles of organizations and public administration.
Knowledge of the functions, operations, and structure of City government and related departments.
Knowledge of office practices, procedures, systems, and equipment.
Knowledge of purchasing, personnel management, budget, and accounting systems.
Knowledge of accounting and bookkeeping principles.
Ability to operate a personal computer.
Ability to operate various computer programs and office equipment.
Ability to plan, direct, coordinate, and review the work of others.
Ability to meet deadlines and complete work in a timely manner.
Ability to establish and maintain effective working relationships with various boards, high level officials, City departments, superiors and assigned employees.
Ability to effectively communicate, both orally and in writing.
Ability to operate various computer programs and office equipment.
