Job Description
|
|
Performs technical and first-line supervisory work of records retention and digital conversion of permitting-related documents. Responsible for coordinating the development of records retention schedules and supervising storage, retrieval, and destruction. Supervises scanning staff to ensure quality assurance and records retention compliance. Communicates with vendors and participates in the identification and execution of contracts with scanning vendors. Work is performed under the supervision of the Client Relations Coordinator.
Minimum Qualifications:
Associate's Degree in Business Administration, Management, or related field with coursework in records management plus two (2) years permitting or records management experience; or an equivalent combination of education, training, and experience. Valid Florida Driver's License required.

Responsibilities

Ensures the quality of all scanned plans on DVDs coming for vendors.
Supervises, directs and trains assigned support staff.
Contacts vendor by phone or email when scanned plans are needed by staff or customer.
Coordinates OCPA's plans requests.
Uploads the electronic files and verifies plans.
Assists staff with location and retrieval of plans.
Performs other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
Considerable knowledge of City of Orlando Policies and Procedures.
Knowledge of Infer; Document Management; Project Dox; and MicroSoft Office.
Skilled in data collection and data entry.
Ability to communicate effectively orally and in writing to both the public and private sector.
Ability to maintain records and prepare reports.
Ability to establish and maintain working relationships with the general public, staff, and media.
Ability to locate information by research.
Ability to climb stairs and ladders.
Ability to sit and work at a computer for an extended period of time.
Ability to set workload expectations based on staffing, budgeting and project load.
Ability to lift 25 or more pounds.
