Job Description
 
Performs managerial and administrative duties to facilitate a wide variety of events in the City of Orlando. Primary duties include developing and administering fee estimates and charges; establishing performance measures; monitoring the collection of attendance data, revenues, and payroll within the program; and coordinating with promoters to bring cultural art/nature special events to City Parks. Work assignments require the exercise of initiative and independent judgment in organizing and facilitating specialized cultural activities and events in specific areas of the City. This position reports to the Assistant Division Manager of Parks. Work is performed under general supervision and is reviewed through meetings, generated reports, and evaluation of results obtained. Work is sometimes performed outdoors and employee may be exposed to extreme heat, insects, and weather conditions. Is required to work evenings, weekends, and holidays as needed.

Minimum Qualifications:

Bachelor's Degree in Public Relations, Event Management, Facility Management, or related field with four (4) or more years experience developing and/or implementing small and large-scale events in outdoor venues, one (1) year of which must have been in a supervisory capacity; or an equivalent combination of education, training, and experience. Valid Florida Driver's License required. Class B CDL desired. Florida Recreation & Park Association (FRPA) Certification desired.
 
Responsibilities
 
EXAMPLES OF WORK PERFORMED:

Acts as a liaison between the City of Orlando and the Loch Haven Alliance. 

Manages and evaluates performance of staff affiliated with park activities and events and communicates this information through periodic performance appraisals.

Directs and gives assistance via phone, e-mail, site visits, and reports.

Facilitates different types of activities and events at City parks, particularly in premier parks such as Loch Haven, Festival Park, and Gaston Edwards Park.

Monitors and coordinates the timeline of an event, prepares reports, provides guidance and information pertaining to the City requirements for each event to the clients, ensures that all contractual obligations are met, and ensures that quality client/customer standards are upheld at all times.

Prepares estimates and event contracts.

Coordinates with other City departments and divisions to ensure that all requirements are met by promoters as well as presenting and providing layouts for those events.

Acts as a liaison with the client to ensure that their needs are effectively met, ensuring the event location fulfills all safety requirements and that the customers are complying with Parks Division’s policy and procedures.

Responds to citizens in a timely manner concerning a wide variety of issues.

Approves 18 As and rental agreements; directs promoter to other City departments for permits, road closures, and other requirements.

Researches and makes recommendations for upgrades and capital improvement projects that will improve the Parks Division’s infrastructure to handle a wide variety of activities and events.

Oversees the Park Ranger Program including monitoring, reviewing, and scheduling; suggests proper training for staff; follows up on incidents involving citizens and rangers; follows up on maintenance/risk safety issues; and serves as a direct liaison with Orlando Police Department as needs/issues arise.

Oversees installation and running of technical equipment at City parks which may include music, light shows, and projection mapping shows; works on insuring installation of fiber optics in order to transmit data throughout parks; and works closely with the Technology Department in the City to ensure that this all happens.

Knowledge of facilities, equipment and tools needed to promote public activities and events.

Knowledge of public relations principles and practices.

Skilled in the oral, written, and visual presentation of ideas.

Skilled in managing people and maintaining a positive, professional, and effective working relationship with internal and external customers.

Skilled in operating computers, theater lights, sound and recording equipment, and power tools.

Skilled and proficient in several cultural arts disciplines.

Ability to prepare, justify, and maintain a program budget.

Ability to plan, develop, and implement varied cultural arts activities and events.

Ability to develop and administer an annual operating budget.
