Job Description

|
Coordinates and assists with coordinating events, including sports tenants’ events, family shows, concerts, hospitality, and spectacles. Serves as manager-on-duty as assigned. Uses considerable discretion and independent judgment in the resolution of problems. Responsible for managing the necessary logistical requirements for hospitality events held at an assigned facility. Work is performed under the supervision of the Venues Events Assistant Division Manager. Performance is reviewed while in progress and upon completion through conferences, direct observation, and reports submitted to ensure compliance with departmental policy and client satisfaction.
Minimum Qualifications:
Bachelor’s Degree in Event Management, Sport Management, Hospitality Management, or related field plus two (2) years event coordination experience or related experience at an arena or stadium facility; or an equivalent combination of education, training, and experience. Valid Florida Driver's License required.

Plans, organizes, and manages logistical requirements for a variety of hospitality events, including rentals and sports tenants meetings for Orlando Venues.
Promotes a favorable image of the City.
Meets with facility clients in advance of events and assists in determining event needs.
Provides information and direction to operations and support staff including audio/visual, telecommunication, set-up, custodial, maintenance, security and admission personnel.
Prepares technical drawings (CAD), layouts, diagrams, instructions, set-up requirements and supporting documentation for each event and distributes to appropriate staff and communicates changes before and during events.
Submits service requests to appropriate departments and/or sub-contractors to schedule event staff in accordance to client and safety codes.
Serves as facility representative at events as assigned and requested, including events held at other facilities within the Venues department.
Enforces facility policies and procedures throughout each event and resolves event problems and public complaints.
Prepares written evaluations of operational procedures based on findings.
Answers questions and provides information to facility guests and clients, including prospective facility clients.
Conducts facility tours as needed.
Prepares written cost estimates to all clients in advance of their event including prospective clients.
Performs other duties and responsibilities as required.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of effective customer service practices, contract language rules and regulations, public facility operations and set-up procedures.
Knowledge of technical computer-aided drafting programs, such as AutoCAD.
Skilled in event organization and interpersonal communication.
Ability to effectively manage multiple projects, tasks and duties.
Ability to meet deadlines with high quality results in a fast-paced environment.
Ability to communicate clearly, both verbally and in writing.
Ability to establish and maintain effective work relationships with clients, promoters, City employees and general public.
Ability to respond to difficult and stressful situations in an efficient, effective, and positive manner.
Ability to perform pre-event inspections and conduct tours of facilities.
Ability to work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) work days and extended numbers of days.
Ability to walk for extended periods of time, stand, sit, bend, stoop, lift 20lbs, pull push, reach overhead, kneel, crawl, climb, and work under extreme weather and excessive noise.
