Job Description
|
|
Performs administrative and technical work associated with the receipt, review, and processing of applications for zoning, building, fire, engineering, and all permit types processed within the Permitting Services Division. Provides professional and personalized customer service to commercial and residential clients. Creates and maintains multiple spreadsheets for tracking and processing development applications. Analyzes permitting activity data, conducts parcel research, coordinates meetings, and transcribes meeting notes. Leads and trains permit technicians in processing and issuing permits. Guides and advises customers through the permitting process with specific focus on the permitting platform ProjectDox and all permitting online services. Responds to customer inquiries via email, phone, and in person. Works extensively with the public and must exercise discretion, tact, and diplomacy. Work is performed under the general supervision of the Permitting Express Manager. Performance is reviewed through observation, discussions, and data reports.
Minimum Qualifications:
High School Diploma/G.E.D. Certificate and three (3) years customer service experience involving considerable public contact, preferably in zoning, building planning, or related areas; or an equivalent combination of education, training, and experience. Must type 25 CWPM. Strong oral and written communication skills desired. Experience with Infor, ProjectDox, and Microsoft Office products preferred.

Processes building permit applications and issues permits
Transcribes meeting notes, conducts research and provides direction to customers on permitting processes
Answers customer inquiries via email, phone and in person
Provides training for PEXP Permit Technician on all PEXP related duties and assigns, monitors and reviews the work of PEXP Permit Technician
Monitors email responses and spreadsheet entries form PEXP Permit Technician to ensure accuracy and timeliness
Provides personalized customer service to Permitting Express small business customers
Guides customers through Project Dox
Provides same day processing of building permit applications and Business Tax Receipts
Maintains and manages multiple project spreadsheets
Monitors target dates to ensure projects stay on task
Conducts parcel research
Coordinates meetings with small business owners, design professionals ans City staff and maintains meeting notes
Conducts PEXP training for Permit Technician assisting with PEXP
Monitors the work of one PEXP Permit Technician to ensure accuracy and timeliness
Performs other related duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of overall permitting process (i.e. processing building permit and BTR applications, routing plans, issuing permits, Infor and PDox).
Skilled in the use of Computer software programs such as Word, Excel, Power Point, Infor and PDox.
Ability to simultaneously handle multiple projects
Ability to communicate effectively both orally and in writing via phone, email or in person.
Ability to take notes during meetings.
Ability to quickly learn new business processes.
Ability to work well in a team setting or independently.
Ability to train and lead technical staff.
Ability to work in an office setting.
