Job Description
 
Performs work for the procurement of materials, including coordinating times, dates, and location of materials delivery. Performs work to ensure materials are ordered from the current contract vendor and delivered at the contract price; and research the lowest bid price from vendors when no contract exists. Performs work that includes maintaining the optimum level of supplies and materials; inspecting maintenance shops and storage areas; tracking established and creating equipment depreciated schedules; maintaining records electronically and on paper; and acting as property custodian. Performs work to include vehicle maintenance scheduling and tracking. Work requires the ability to communicate with internal and external stakeholders on vehicle repairs. Work is performed under the direction of the Fleet and Fire Logistics Operations. Work is reviewed by the Logistics’ Ranking Fire Chief assigned while in progress and through the results achieved.

STREETS AND STORMWATER: Performs work for the procurement of materials, including the coordination of times, dates, and location of materials delivery. Performs work to ensure materials are ordered from the current contract vendor and delivered at the contract price; and research the lowest bid price from vendors when no contract exists. Performs work that includes maintaining the optimum level of supplies and materials; inspecting maintenance shops and storage areas; tracking petroleum use for various City of Orlando programs; maintaining records both electronically and paper; and serving as Division property custodian.

Minimum Qualifications:

Associate's Degree and two (2) years of firefighting experience or administrative experience in warehousing, property control, materials management; or a combination of education, training, and experience. Valid Florida Driver's License or Class B CDL may be required, depending on the area of assignment.

STREETS AND STORMWATER: Associate's Degree and two (2) years of administrative experience in warehousing, property control, and materials management; or an equivalent combination of education, training, and experience. Valid Florida Driver's License required. Computerized work order system and database experience desired.
 
Responsibilities
 
EXAMPLES OF WORK PERFORMED:

Initiates procurement orders through the use of currently prescribed ordering practices.

Inputs credit and debit journal entries, and balance various City department accounts.

Schedules apparatus maintenance repair orders to include coordination of apparatus replacement

Maintains record logs including: apparatus logs, SCBA check off sheets, air pack, inventory, receipt and issuance of supplies and materials, parts, tools and equipment.

Recommends the type and amount of inventory items.

Organizes and participates in the creation of the physical inventory system.

Maintains optimum level of safety products including, but not limited to, barricades, barricade lights, batteries, bulbs safety tape and other related safety products. Signing out of materials and equipment to include fire; hoses, nozzles, adaptors, power units with related equipment, saws, generators, blowers, pumps, and various types of firefighting equipment.

Ensure that all Fire Logistics Storage area / maintenance facility and/or other assigned storage and maintenance facilities are in compliance. This is accomplished through weekly inspections of the facility adhering to standard operational procedures as outlined by the division.

Answer telephones, responding to instructions from immediate supervisor or manager in the chain of command, be able to provide information to as needed to the Fire department senior staff, Mayor, Council member or any other City employees.

Performs other duties as may be assigned.

Streets and Stormwater:
Inputs credit and debit journal entries, balance various City department accounts as it relates to purchases for Division equipment, vehicles or other assets maintained by the Division.

Calls in repair orders for various program maintenance needs.

Maintains records incident to the procurement, inventory, receipt and issuance of supplies and materials, parts, tools and equipment. Ensures adequate stock of the type and amount of inventory items for each program within the Division.

Creates and keeps current a physical inventory system of all Division assets.

Initiates procurement of special orders, through the use of currently prescribed ordering practices including the use of Workday, MS Office and other computer procurement systems.

Maintains optimum level of safety products including, but not limited to, barricades, batteries, bulbs safety tape and other related safety products.

Tracks materials and equipment through sign out system, items to include but not limited to wood, steel, aggregates, brick, barricades, aquatic chemicals, air compressors, concrete saws, generators, blowers, weed eaters, pumps, and various types of drainage grates frames & covers.

Ensures that Woods Avenue storage and maintenance facility and / or other assigned storage and maintenance facilities are in compliance with N.P.D.E.S., section: Part III A3. This is accomplished through weekly inspections of the facility adhering to standard operational procedures as outlined by the Division.

Answers telephone, radio calls and respond to requests for information and or service needs of citizens and or City employees.

Performs other duties as may be assigned.


KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of warehousing methods, principles and practices, inventory maintenance and control as well as office procedures.

Thorough knowledge of materials, supplies used by the Fire Department.

Knowledge of Fire Department operations Insurance Service Office (ISO).

Knowledge of Fire Department operations National Fire Protection Association (NFPA).

Knowledge of ordering materials from a variety of suppliers, making sure that contract venders are used if possible.

Knowledge of researching for the lowest price through a bid process or price comparison if contract venders are not available.

Knowledge of coordinating deliveries to be sure that times, dates, personnel and equipment are available for deliveries.

Knowledge of transportation agencies and shipping methods.

Knowledge of automated inventory control systems.

Knowledge of account transactions using electronic system

Ability to utilize Micro Soft Office and other computer programs as may be necessary.

Ability to utilize computer resources to research materials, equipment, specifications, prices, availability and ordering.

Skilled in communicating clearly and concisely, both orally and in writing.

Skilled in organization

Ability to develop and maintain effective working relationships with employees and the general public.

Ability to accurately maintain complex records and prepare accurate reports.

Records maintenance of materials to ensure a balance of received and issued materials, equipment, petroleum, chemicals and supplies.

Ability to establish and maintain accurate record keeping, purchasing and requisitioning procedures.

Ability to coordinate deliveries, and store and issue supplies on a daily basis.

Ability to perform inventory control by a daily visual check on supplies and materials.

Ability to perform a quarterly/annual written inventory on chemicals and materials.

Ability to conduct an annual inventory inspection on equipment.

Ability to drive large fire vehicles.
